We may, in the course of your use of this website and your experience with us, collect and use personal information provided by you to us. While we may use this personal information to improve your service experience with us, we are committed to protecting the privacy of your personal information and the details of your website behaviour and preferences while on our site. This personal information will remain confidential with us and our affiliated lines of business, if any.
Collection of information
We will collect only such personal information from you as may be required to permit us to fulfill the purposes set out below. Such information may include your name, address, email address, telephone numbers, date of birth, gender, personal interests and product preferences. We will collect this information to authenticate your identity, to improve your experience, to understand your preferences for the types of products and services that we offer, to administer our promotions and programs, to communicate with you and to process payment for our products and services. We may also collect personal information from you on our website in connection with your participation in promotional programs and special offers which we may initiate from time to time. In addition, we may collect additional information from you from time to time for purposes ancillary to those set out above.
We may also log non-personally-identifiable information including IP address, profile information, aggregate user data, and browser type, from users and visitors to this website. This data is used to manage the website, track usage and improve the website services. This non-personally-identifiable information may be shared with third parties to provide more relevant services and notices to users. User IP addresses may be recorded for security and monitoring purposes.
We may also use your email address to send updates, a newsletter or news regarding our products or services. We will provide you with the option to choose not to receive emails of this type, and every commercial email we send includes an unsubscribe link.
Over the course of our relationship, information will be created that was not intended but merely resulted from the regularity of transactions between us. We are committed to honest and open communication and will make your personal information available to you upon request.
By providing personal information to us, by using our services and by participating in any programs that we may offer from time to time, you consent to our use of information disclosed by you for the purposes identified above. Voice Recordings and Scan Results
When you record a voice print, your voice is analyzed in order to produce numeric results (the relative strength of each musical note in your voice). Only these numeric results, and the date of the scan, are stored in your account. The audio recording of your voice is not stored, retained, sold, or shared. It is used only to perform the analysis. Your numeric scan results are visible to you in your account and to authorized VocalScan personnel for support purposes, and are never sold or shared with third parties.
Service Providers
We use a small number of trusted third-party service providers to operate VocalScan:
– Payment processing is handled by our payment processors (such as Stripe and PayPal). Your full payment card details are provided directly to the processor and are never stored in our databases.
– Email delivery (account emails and newsletters) is handled by our email service provider. Your name and email address are shared with that provider solely to deliver our emails to you.
– Audio content is streamed from Amazon Web Services (AWS) servers. No personal information is shared with AWS for this purpose.
Some of our service providers store or process data in the United States. By using our services you consent to your information being processed there, as further described in our Terms & Conditions.
Children
We do not intend to collect any personal information from children under the age of eighteen. If a parent or guardian of a child who has provided us with such personal information would like the information deleted from our records, they should contact us at the email address listed at the bottom of this policy statement. We will then delete the child’s personal information from our files.
Use of Cookies
We may use cookies to store visitors’ preferences and to record session information, to ensure that visitors are not repeatedly offered the same page content and to customize newsletter, promotional, and web page content based on browser type and user information. Cookies are also used to keep you logged in and, where you arrive via a partner’s referral link, to credit that partner for your visit. You may be able to configure your browser to accept or reject all or some cookies, or notify you when a cookie is set. Each browser is different, so check the “Help” menu of your browser to learn how to change your cookie preferences. However, you may be required to enable cookies from us in order to use most functions on the site.

Use and disclosure of personal information
We do not use or disclose personal information for purposes other than those for which it is collected, except with the consent of the provider or as required by law.
VocalScan will not sell, rent nor share your personal information to any organization or individual other than its affiliated businesses and the service providers contracted by VocalScan to carry out communications, programs or analysis on VocalScan’s behalf, as described above.
Notwithstanding the above, we may disclose personal information to a third party if such disclosure is necessary: (1) to conform to legal requirements or to respond to a subpoena, search warrant or other legal process received by us, whether or not a response is required by applicable law; (2) to enforce the Terms of Use of any program or to protect our rights; or (3) to protect the safety of members of the public and users of the website. We reserve the right to disclose personal information to any prospective successor in interest that is in good faith contemplating the acquisition of our business or substantially all of our assets. We further reserve the right to transfer all such personal information to such prospective successor in interest in the event of a sale, amalgamation, continuance or other transfer or conveyance of our business or substantially all of our assets.
Retention and safeguarding your personal information
We will retain your personal information for as long as it is required to fulfill our obligations to you as our customer. We will take all necessary and reasonable measures to safeguard that information from any unauthorized access. We use industry-standard encryption technology and firewall systems to deter unwanted intruders.
Even the most sophisticated systems have been “hacked into”, so our best defence is to minimize the information we keep. No credit card information is stored in any of our databases, and therefore we never expose your credit card information to the possibility of improper or unauthorized access. As described above, the audio of your voice recordings is not stored at all. Hard copies of personal information, if any, are stored in a secure area and are only made available to authorized personnel.
Consumer access to Personal Information
We are committed to keeping you informed and to ensuring the accuracy of your personal information. At your request we will provide you with details of all of your personal information which we have, what it is being used for, and to whom it has been disclosed. In some limited cases, we may be unable to access or provide some specific information. We will provide reasonable rationale for any inability to release information.
You may send us a written request requiring that your personal information be deleted from our databases, or you may request that your personal information be updated or corrected to amend any inaccuracies. We will action deletion requests within a reasonable time frame, except where we are required to retain certain records by law (for example, transaction records for tax purposes).
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
iOS Mobile Application (VocalScan Audio Player)
The VocalScan Audio Player app collects the following information:
– Email address and password for account authentication
– Session preferences and saved favorites, stored locally on your device
The app does not collect analytics, location data, or usage tracking data.
Audio content is streamed from Amazon Web Services (AWS) servers. No personal data is shared with AWS or any other third party through the app.
Authentication tokens are stored securely on your device and are used solely to verify your membership status with VocalScan.
